1Getting Crew Wise

One account works everywhere — the phone app and the browser version are the same club, the same logbook, the same messages.

On your phone or iPad

Crew Wise for iPhone and iPad is in TestFlight testing now, with the App Store release next. Your club administrator sends you the TestFlight invitation; once it is on the App Store, search for Crew Wise. The phone app is the one that gives you the stroke coach with GPS, QR scanning and push notifications. On Android, use the browser version and add it to your home screen — everything except those three works exactly the same.

In any browser

Go to the browser version on a Mac, PC, Chromebook, Android phone or tablet, iPhone or iPad. It is the full app — sign-outs, returns, the logbook, messages, the schedule and the whole admin area. Bookmark it, or install it to the home screen so it opens like an app: on Android, Chrome’s menu → Add to Home screen; on an iPhone or iPad, Share → Add to Home Screen.

You need three things to get going, and they take about three minutes in total: a free account (section 2), then either your club's join code (section 3) or, if your club isn't on Crew Wise yet, a couple of details to register it (section 4).

On the welcome screen tap Take the 3-minute tour. It walks through ten screens with sample data from a made-up club, no account needed. Tap Leave the tour at any point.

2Create an account

Free for rowers, coaches, coxswains and parents. Your club pays one subscription that covers everyone; nothing is ever sold inside the app.

  1. Open Crew Wise. On the welcome screen tap Create an account.

  2. Under Which of these are you? tap the card that fits. You can change this later, and it only shapes what the app offers you first.

    I coxYou steer. Crews see you first whenever a coxed boat (4x+, 4+, 8+) is signed out. You can still row too.
    I coach or run the clubCoach, captain, secretary or treasurer. You'll be asked Do you take boats out yourself? — answer Yes, I row too or No, I run things ashore. Either way you get the logbook, schedule, chats and, once an admin gives you the role, the admin area.
    I'm a parent or guardianYou follow your rower: the calendar, RSVPs and any message you're copied into. Parents never sign boats out.
  3. Fill in Full name, Email and a Password of at least 8 characters. Use the name people at the club know you by — it's what appears on crew lists and in chat.

  4. Tap Create account.

  5. If the screen says Account made — now confirm your email, open your email app, find the message from Crew Wise and tap the link. It opens in your web browser and says you're confirmed — that's meant to happen. Come back to Crew Wise and tap I've confirmed it — sign in, then sign in with the same email and password.

  6. You're signed in but not in a club yet. Tap I have a join code (or Join a club with a code) and carry on with section 3 — or Register your club for section 4.

No confirmation email?

Give it a few minutes and check the junk folder. If it still hasn't come, your club administrator can confirm the account for you — email them the address you signed up with.

Signing in later

Tap Sign in, enter your email and password. Forgotten it? Type your email, then tap Email me a reset link. The link opens the app on a Choose a new password screen; reset links are good for an hour. On an iPhone you can also use Continue with Apple — pick the same option each time, because the account is tied to the email address it was made with.

3Join your club with its code

Every club on Crew Wise has one join code. Any member or your club admin has it; it's shown in the app on the Club tab and under My profile.

  1. Sign in, then tap I have a join code or Join a club with a code. The screen is called Join your club.

  2. Type the code into Club join code. Capitals, spaces and dashes don't matter, and the app forgives a 0 typed as an O or a 1 as an I. Codes are between 4 and 12 letters or numbers — something like KAURI7 or RIVER 2026.

  3. Tap Join. If it says That code didn't match a club, check it with whoever gave it to you — it changes if the club sets a new one.

  4. You land on Welcome to {your club}. Read the three cards (taking a boat out, bringing it back, practices) and tap Next.

  5. So we can find you the right boat — this is the bit that makes the app useful. Enter your Weight (kg), Height (cm) and Year of birth, then answer Which side do you row? (Women's, Men's or Rather not say) and pick Your grade. Not sure of your grade? Leave it on Novice — a coach can change it. Tap Save and start rowing.

Who sees this?

Other members never see your weight or height. Your coach sees it only where it's needed to pick crews. It's used for one thing: putting the boats rigged for someone your size at the top of the list. Your side (men's or women's) also decides which grade chat you're in, and your year of birth switches on the under-18 safeguards in messaging.

Don't have the code?

On the Join screen tap I don't have a code. Type your club's name under Find your club — every New Zealand club is in the list. It tells you whether the club is on Crew Wise — ask a member for the code or not on Crew Wise yet. If it's not on yet, someone at the club can register it in two minutes (section 4).

New members join as rowers

Everyone who joins with the code starts as a Rower. A club admin then promotes coaches and admins, and links parents to their rowers, under AdminMembers & roles. If your club runs squads, you can ask to be placed in one from MoreYour profile; an admin approves it.

MoreYour clubs lists every club you're in, with Join another club underneath. Tap a club to switch — the whole app follows.

4Set up a new club

Four things and you're running. Every club starts with a 30-day free trial — no card needed. Budget twenty minutes for the setup below and your club is genuinely usable by the next morning.

Register the club

  1. On the welcome screen tap Register your club. (If you already have an account, sign in first — the club is registered under the account you're signed in with, and you become its first admin.)

  2. Club name — start typing. Every New Zealand club is in the Rowing NZ directory; pick yours and the home water, region, map pin and nearest LINZ tide station fill themselves in. A club that isn't listed can be typed in by hand.

  3. Home water — the river, lake or harbour you row on (e.g. Clive River). This is what the weather and tide readings are for. You can move the map pin and change the tide station later.

  4. If you're not signed in, fill in The club's administrator: your name, email and a password. A tip from the screen itself: use the club's own address if there is one — admin@yourclub.nz — so the account stays with the club when people move on.

  5. Answer Will you take boats out yourself?No, I run things ashore or Yes, I row too. This only decides whether the app offers you a boat.

  6. Tap Register the club. If your email needs confirming, do that first, sign in, and come back — the club details are a moment's work to enter again.

The first twenty minutes

Everything below lives under MoreAdmin. Do them in this order and nothing will be missing when the first crew turns up.

  1. Add the boats. AdminFleet managerAdd a boat. Name, type (1x, 2x, 2-, 4x, 4x+, 4+, 4-, 8+), maker, year, the grade the boat suits, and its weight range. The weight range is what makes "boats that fit you" work, so it's worth a minute per boat. Got a spreadsheet already? On the Club plan, AdminBulk import takes the whole list in one paste.

  2. Check the join code. AdminClub settings shows it large at the top. The app generated a six-character one; tap Change it if you'd rather have something the club will recognise, like HAWKES BAY 24. Then tap Copy and send it round — the share text explains exactly what new members do with it.

  3. Set the safety numbers. Same screen, Rowing-status thresholds: max wind, max gusts, caution wind and minimum temperature, in knots and °C. The status light on everyone's Home screen (Good to row · Row with caution · Not suitable) comes from these. Your safety officer owns them.

  4. Tide and location. Under Identity, confirm the latitude and longitude of the shed, choose Tidal water or Lake or river, and for tidal clubs pick the Tide station — the nearest LINZ station is selected with the next four listed by distance.

  5. Say who gets told about damage. Under Tell someone when a boat breaks, leave Email the club on and add the boatman's or captain's address. An out-of-order return then emails them straight away.

  6. Set an admin PIN if you'll ever use a shared iPad or Mac in the boat bay. Admin PINSet a PIN → four digits. Without one, the admin area opens for any admin without a prompt.

  7. Promote your people. Once members have joined with the code, open AdminMembers & roles and tap Coach or Club Admin on the right names, and Parent / Guardian for parents, linking each to their rower. Make at least one other admin so the club never depends on one phone.

  8. Squads and coaches (Club plan): AdminGrades & squads — add squads, then under Who coaches each squad pick the coach. From then on, when one of that squad's rowers signs a boat out the coach box starts with that name.

  9. Put the schedule up. AdminEvents, contacts & rules: add the week's training, the next regatta, the people to ring, and the club rules by audience.

Share the code like this

"Join {club} on Crew Wise: create an account, tap Join your club and enter the code {code}." That one line — in the squad group chat, on the noticeboard, in the newsletter — is all anyone needs. A link that opens the join screen with the code already filled in is on this website: …/app/join?code=YOURCODE.

5Finding your way around

Five tabs along the bottom — that's the whole app. On a Mac, iPad or wide browser window the tabs become a bar across the top with a few extra shortcuts.

On wide screens the top bar reads Home · Fleet · Messages · Schedule · Bookings · Logbook · Club boards · Club, plus Admin for club admins, with your initials at the far right for your account.

  • Pull down to refresh on any list. If the club can't be reached, a strip at the top says so and shows what was last loaded — nothing you did is lost.
  • Your initials in the corner of most screens open your profile.
  • Back links sit top-left and name the screen they go to (Club, More, Cancel).

6The Home screen

Morning, {you}. The date, how many boats are free, how many crews are out — and everything you're likely to need before 6am.

The Conditions card

Live wind in knots with direction, temperature and gusts, how long ago it was read, and the status light. This card can't be hidden — it's the safety part of the app.

Row with cautionWind over the club's caution limit, gusts well above it, or rain around. Coaches decide.
Not suitableWind or gusts over the club's maximum, or colder than the minimum. The detail line says which, e.g. Wind 19 kn over the 16 kn limit.

Tidal clubs also get the tide row — the next high and low — with its source underneath: {station} · LINZ tide table is the official table for the station your club chose; if that can't be reached the app falls back to a sea-level model and says so. The LIVE pill means real readings; DEMO means sample data.

The big button

Take a boat out starts a sign-out (section 7). If you said you don't take boats out — or you're a parent — it reads See the fleet instead.

While you're out

Home turns into a countdown: You're on the water — {boat}, the minutes gone, and until due back at {time} (or overdue — was due {time}). Two buttons: Stroke coach and Return.

The rest of the screen

  • Quick buttonsMessages, Schedule, On water and How it works, with badges for unread messages and crews out.
  • Your next practice or race — reply Going, Can't or Maybe without opening anything.
  • Your booking — when a boat you reserved is ready it says Your booking is ready — tap to sign out.
  • Club goal this month — kilometres against the target, with how many a day are needed.
  • On the water now — every crew out, who's stroking, the coach, when they're due; LIVE MAP opens the map (section 9).
  • Admins also see the club's join code as a quiet Club password line under the greeting.

Anything except Conditions can be switched off for your own account under MoreYour view.

7Taking a boat out

Boat, crew, go. Three taps if the boat suits you; the weather and tide are written into the logbook for you.

Pick a boat

  1. Tap Take a boat out on Home. The screen's caption reminds you what it's matching against: {weight} kg · {height} cm · {grade} · {squad}.

  2. Filter by type if you like: Any type, 1x, 2x, 4x+, 8+.

  3. Fits you — {n} boats lists what's free and suits your grade, weight and side. Tap one to sign it out. Also free — outside your match lists the rest with the one reason each doesn't fit (Women's crews, 62–75 kg range, Club boat); tapping those opens the boat's details rather than a sign-out, so you can decide with a coach.

You can also start from Fleet — any boat marked Free has a Take button — or from a boat's own page with Take {boat} out.

How "fits you" is decided

A boat fits when your grade is at or above the boat's grade, the boat is open crew or matches your side, and — if the boat has a weight range — you're within 5 kg of it. Masters counts as Intermediate and Novice Masters as Novice for this. A boat with no range set never excludes anyone, and neither does a missing weight on your profile; it just stops the app helping.

Step 1 — Crew

  1. Under Who's in the boat there is one box per seat, in real rowing order: Stroke first, then the numbered seats, down to Bow. A single has one box, Rower. Start typing and members of the club appear; leave a seat empty if it isn't filled. Stroke is the only seat that must be named.

  2. Coxed boats (4x+, 4+, 8+) have a Coxswain box and won't continue without one. The club's registered coxswains are offered first, before you type anything.

  3. Coach is optional. If your squad has a coach set, the box already has their name — change it if someone else is on the bank.

  4. Choose an Expected duration: 30 min, 45 min, 60 min or 90 min. This is what "due back" and "overdue" are measured against, so be honest rather than generous.

  5. Add Notes if the next crew should know something. Weather (auto) and Tide (auto) are filled in for you; if the light isn't green you'll see Rowing status right now here too.

  6. Tap Continue.

Step 2 — Electronics

Only shown if the club has put units on the shelf. Tap a SpeedCoach, Stroke coach or Cox box to take it with you — anything already out with another crew is greyed. Or use Or add by code: type the unit's code (e.g. SC-01) and tap Add, or on the phone tap Scan and point it at the sticker.

The Ready to go block sums it up — boat, seats and names, coach, due-back time, electronics. Tap Confirm Sign Out. The boat shows On water on every device in the club until it's returned.

Things the sign-out screen will tell you

Booked it earlier?

When your booking's time comes, Home says Your booking is ready — tap to sign out. The sign-out opens with the boat, duration and your name already in.

8Bringing it back

One question: how did the boat come back? Answer honestly — only "Out of order" takes a boat off the rack.

  1. Tap Return on Home (or Return next to the boat on Fleet, or Return this boat on its page). The screen is Return — {boat} and shows how long you've been out.

  2. Who was in the boat is shown as it was entered at sign-out — every seat, the coxswain, the coach, the electronics. Anything wrong? Mention it in the notes.

  3. How did the boat come back? Pick one of three:

  4. Describe what happened — optional, but the boatman will thank you. Cracked rib under 4 seat — needs the boatman is worth far more than nothing.

  5. Enter the Distance rowed (km). This is what feeds the club boards, monthly goals and your own kilometres. If someone in the boat ran the stroke coach, its GPS distance is saved with the outing too. Time out is filled in for you.

  6. Add any Notes about the water or the row, then tap Confirm Return. The outing goes to the club logbook and the boat is available again — or in maintenance, if it's out of order.

Overdue?

If a crew hasn't returned the boat in the app by the time they said, Home and Fleet show it as Overdue for everyone. Check they're back safely, then have them — or an admin — complete the return.

9Stroke coach and the map

Prop the phone where you can see it. Live split, rate, stroke count, metres per stroke, lap splits, your route on a map — and it all lands in the logbook when you're done. Club plan

Before you push off

  1. Sign the boat out as usual, then tap Stroke coach on Home.

  2. Which boat are you in? — your signed-out boat is at the top, marked Signed out to you — the row saves to this outing. The list is limited to boats that fit your weight and grade; tap All boats (+n) to see the whole fleet, or Boats that fit you to narrow it again. Tapping a boat you haven't signed out takes you through the ordinary sign-out and brings you straight back here.

  3. StartingStart on first stroke holds the clock at zero while you paddle out and starts it on the first proper stroke; Start now starts immediately.

  4. ScreenNight — black or Day — white. Turn the phone sideways once you're moving and the split fills the screen.

  5. Show the club where you areOn the map puts your boat on the club's On the water map while you row; it disappears the moment you sign back in. Only members of your club can ever see it. Keep it private records the row without sharing.

  6. Tap Arm the stroke coach. The first time, allow location for Crew Wise — the split and distance come from GPS.

On the water

The status pill reads WAITING FOR FIRST STROKE, then RECORDING (and ON THE CLUB MAP when sharing). The big numbers are your /500m split, rate, distance, time, strokes and m / stroke.

  • Lap marks an interval; each lap's split is kept.
  • The mini map sits in the corner the whole time with your position and a dotted trail of where you've been. Tap the small-map toggle to hide or show it.
  • MAP switches the whole screen to the map: your route so far coloured slow-to-fast, a pin at every kilometre, and {distance} to the shed. Following you keeps the map centred; drag it and it says Free to pan. NUMBERS goes back.
  • The night/day toggle is there too — useful when the sun comes up mid-piece.
  • Finish ends the row.

After the row

Nice row shows Distance, Time, Avg /500m, Best /500m, Avg rate, Strokes, m / stroke and Top speed, the route under Where you went, and each lap under Intervals. Tap Save to this outing and the whole thing — distance, speeds, route — becomes part of the boat's logbook entry (section 10). It also stays on your phone under MoreMy rows. Then Done, and return the boat as usual.

The club's live map — On the water

ClubOn the water (or LIVE MAP on Home) shows every crew that's out. Anyone running the stroke coach with sharing on appears on the map with how far they've rowed, their split, when they're due back and how far from the shed they are, plus Open in Maps. Switch between Satellite and Map, and turn Routes on to see each boat's trail. Crews that are out but not sharing are listed underneath with their due time. Positions are visible only to members of your club, only while the boat is out, and are deleted the moment it's signed back in.

Practical bits

Waterproof case. Battery above half — GPS is hungry. Eyes on the water, not the screen. If your split reads as a dash, the phone doesn't have a GPS fix yet; give it thirty seconds in the open.

10Fleet, boat records and outings

Every boat with its status right now and its whole history behind it — down to who sat in which seat, how fast they went and where.

The Fleet tab

Search by name, type or maker, and filter with All boats, Available now, Sculling or Sweep. Each card shows the boat's photo and a status: Free, On water (with Out {n} min), Overdue, or In repair with the open fault. Free boats show what they suit — Private or Private · yours to row, the grade, the weight range, and Women's or Men's — and a Take button.

A boat's page

Tap any boat. From the top: photo, class and maker, status, and Take {boat} out or Return this boat. Then:

  • Outings · km rowed · Hours · Last out — the boat's lifetime numbers.
  • Fastest in this boat — best split and top speed, who did it and when, from rows recorded with the stroke coach.
  • Where it last went — a map of the recorded routes with a speed key.
  • Class · Grade · Crew weight · Crews · Notes — what the boat is set up for.
  • Open maintenance — the current fault, when it was reported and how serious; admins get Mark repair complete right here.
  • Booked ahead and Rigging — reservations and the saved rigging preset.
  • History — the last fourteen outings and repairs. Tap one to open the full record.

The full outing record

Every outing has its own page (from a boat's history, the logbook, or a row you saved). It shows the route the boat took, coloured from slow to fast, then the numbers — Distance, Time, Avg speed, Top speed, Avg /500, Best /500, Rate, Strokes and m / stroke — and three cards: Who was in the boat (each seat by name, the coxswain, the coach, any electronics, and who signed it out), Weather at sign-out (wind, air temperature and tide as they were when the crew left) and The row (route, planned duration, how it Came back, what was reported, notes). If nobody ran the stroke coach in the boat it says so: No route for this row — and the distance shown is what the crew wrote down at return.

11The logbook

Every sign-out, return and repair the club has recorded, filling itself in. Nothing to do.

Open it from ClubLogbook. Search by boat, name, route or anything written in a note. Narrow by time (Last 7 days, Last 30 days, Last 6 months, Everything), by kind (Outings, Damage, Repairs), to Just mine, or to one boat. The four numbers at the top — outings, km, hours, boats — follow whatever you've narrowed to.

Tap an entry to expand it: the route map, the metrics, and the crew with the stroke marked, cox, coach, route, time out, weather, condition, damage and notes. Open the full record takes you to the outing page above; Open the boat to the boat.

Coaches and admins have a CSV chip to export what's on screen as a spreadsheet. On the Starter plan the logbook shows the last 90 days; the Club plan keeps everything.

12Messages

Chat never leaves your club. You're put into the right conversations automatically, and anyone can start a group.

Where you'll find yourself

The Messages tab groups conversations under Club, Grades, Squads, Groups and Direct messages, unread first.

Direct messagesOne-to-one. Club plan

Start a group chat

  1. On Messages tap Group.

  2. Give it a Chat name, then under Who's in it type names and tap each to add them. Coaches and admins on the Club plan can instead pick A whole squad.

  3. Tap Start the chat. You can add or remove people later from the people icon in the chat header; the person who started the group, and admins, can add and remove.

Send a private message

Tap + on Messages, find the member, tap their name. Each person's row shows their role and squad — and, for a young member, that a guardian will be copied in.

In a conversation

  • Type in Message and tap Send. Under your own messages you'll see Sent, Read or Read by everyone.
  • Tap the people icon to see who's in the chat and why — Rower · Intermediate Women, Coach · added by an admin.
  • Tap someone else's message to Report this message to the club's admins (bullying or harassment, inappropriate for young members, spam, something else) or to Block {name}. Reports go to admins only.
  • In a direct message, BLOCK stops that person messaging you; UNBLOCK undoes it.
  • A coach or admin can close a grade or squad chat, and the person who started a group (or an admin) can close it — CLOSE then SURE?. The messages are kept.

Keeping young rowers safe

A private message between an adult and a member under 18 always has the young member's parent or guardian in it — or a club admin, if no parent is linked yet — and a banner says so. Nobody is blocked; there are simply never fewer than two adults in the conversation. The same applies to group chats. Two under-18s messaging each other is ordinary. Admins can see and change this under AdminClub settingsUnder-18 messaging protection; it is on by default and the app explains the safeguarding guidance before letting anyone switch it off.

13Schedule and RSVPs

Practices, regattas, camps, socials and committee meetings, with Going / Can't make it / Maybe so the coach never has to ask.

Open ClubSchedule. Filter with All, Training, Regattas, Camps, Social, Meetings. Each event shows its date, time and location, who it's for (Whole club, or e.g. Intermediate, Club · Senior A · Ash Scott +2 invited) and the tally of replies.

  1. Reply straight from the list or Home with Going, Can't make it or Maybe. You can change it any time.

  2. Tap the event for the detail: the description, a location card that opens in Maps, Are you coming? with an optional note (Running 10 minutes late…), Boats for the day if crews have been assigned, and Who's in with tabs for Attending, Declined, Maybe and No response.

  3. Coaches and admins get Remind the {n} who haven't replied, which posts a reminder to Club Chat.

Add to my calendar puts the club's events into your phone's calendar (in the browser it downloads a calendar file to open). Club plan The Been and gone section at the bottom shows recent events and how many turned out.

An event set for particular grades, a squad or named people is shown only to them (plus coaches and admins, and a parent sees what their rower is invited to). Adding events is done in AdminEvents, contacts & rules — see section 18.

14Bookings

Reserve a boat ahead — no more two crews and one shell at 6am. Your club decides who may book.

  1. ClubBookingsBook a boat.

  2. Pick the Boat, the Day (today, tomorrow, the next week), a Start time and For how long (1 h, 1.5 h, 2 h), plus an optional note such as the crew name.

  3. Tap Book {boat} — {day} {time}. If someone already has it, the app says who and until when.

Your bookings appear under Yours with Sign out once the time comes and Cancel until then; everyone else's under Club bookings. Booked boats show on Home and on the fleet list. If bookings are limited to coaches at your club you'll see Coaches and admins can book — ask yours to hold a boat, and it shows on your Home when they book it in your name.

15Notifications

A push to your phone when there's a new message, something changes on the schedule, or the club has news. Three switches, all yours.

  1. Open MoreYour profile and scroll to Notifications.

  2. Switch each on or off:

    • Messages — a new message in a chat you're in.
    • Schedule — something new or changed on the calendar (a new session, a moved start time, a different location).
    • Club updates — a rule changes, or a boat goes out of order.
  3. The first time you turn one on, the phone asks whether Crew Wise may send notifications — allow it. Tap a notification and it opens the chat, event or boat it's about.

Not arriving?

If the card says Notifications are switched off for Crew Wise in your phone's Settings, open the iPhone Settings app → Notifications → Crew Wise and allow them. The switches also work in the browser version, but the notifications themselves arrive on the phone app.

16Your profile and settings

Who you are to the app: what it matches you to, who can message you, and what your home screen shows.

Your profile — MoreYour profile

  • PhotoAdd a photo. It appears on crew lists and in chat.
  • Your rowing — outings, kilometres, hours and boats, your favourite boat and longest row, with a link to the club boards.
  • Details — full name, phone, I take boats out (Yes, I row / No — I run things ashore), I cox (Yes, I'm a coxswain — you're offered first when a coxed boat goes out), weight and height, year of birth, Gender (Female / Male — used for boat matching and your grade chat), Your grade, and an Emergency contact. Tap Save profile.
  • Squad Club — tap a squad to ask to move; an admin approves it.
  • Parent or guardian — who's linked to you (or, for a parent, Rowers you look after). Admins manage these links.
  • Notifications — section 15.
  • Sign-in — how you sign in and with which email, and Sign out.
  • Delete my account — permanent, two taps to confirm. The club keeps its logbook without your account attached.

Your view — MoreYour view

Choose Roomy or Compact, and tap off any Home card you never use — quick buttons, next practice, who's on the water, your bookings. Weather and rowing status always stay. It follows your account, so nobody else's app changes.

Monthly goals

Kilometres the whole club, or each squad, is chasing this month, with days left and the km-a-day needed. Coaches and admins tap Set a monthly goal. Every completed outing with a distance counts.

Club boards Club plan

Together this year, Kilometre King and Queen, the kilometres board, attendance champions, early birds (on the water before 7am), the most popular shell, sweep against sculling hours, and the hottest and coldest anyone launched into. Completed outings only — nothing is estimated.

Club rules

Written by your club, by audience: Rowers, Parents & guardians, Coaches, Club members.

Contacts

The people who run the club — captain, boatman, safety officer — tap to call or email.

Equipment

The electronics shelf (SpeedCoaches, stroke coaches, cox boxes) and whether each is on the shelf, out or missing, plus the rigging preset each boat is set to.

My rows

MoreMy rows: every piece your phone's stroke coach recorded, with splits, intervals and the route, kept on the phone.

18Running the club — the Admin area

Everything a club admin does, in the order the tools appear under MoreAdmin. Every change shows for every member immediately.

Getting in

Admin appears in More only for people with the Club Admin role. If the club has set a PIN, an Admin access screen asks for the four digits first; once entered it stays open for the session. Tools that belong to a higher plan are shown with the tier's name and open the plan page instead.

Fleet manager

The list of boats with Add a boat at the top; tap any boat to edit it.

  1. Name, Type (1x 2x 2- 4x 4x+ 4+ 4- 8+), Manufacturer and Year.

  2. Grade this boat suits — Novice, Intermediate, Club or Premier. This says how much boat it is; rowers below it get a warning at sign-out.

  3. Min weight and Max weight in kg — the crew weight the boat is rigged for. This is what "fits you" and the stroke-coach boat list use.

  4. Who may row it — leave it on Anyone in the club, or type a name under Make it private — add a person to make the boat private. Add as many people as you like. Only the people named can sign it out; admins always can; everyone else sees it with a lock and Private. Use it for a member's own single, or the racing eight the week before a regatta.

  5. Add boat / Save changes. Remove boat asks Yes, remove it and refuses while the boat is on the water.

Members & roles

The join code is at the top with the wording to send new members. Find a member and tap a role chip:

RoleCan
RowerSign boats out, reply to practices, chat with the team. Everyone who joins with the code starts here.
CoachEverything a rower can, plus the Coaches chat, adding events, crew lists, the logbook CSV export, and no grade warnings at sign-out.
Club AdminRuns the club — fleet, members, content, settings, plan and approvals. The only role that clears maintenance.
Parent / GuardianFollows their rower: the calendar, RSVPs and any message they're copied into. Never signs a boat out.

Under-18s show Parents & guardians with Link a guardian — pick the adult from the list. A card at the top names any young member with nobody linked, because coaches can't message them privately until someone is. Remove (then Really remove?) takes a member out of the club and every channel immediately. The app won't let you demote the club's only admin.

Squad requests

Members who asked to join a squad from their profile wait here with their grade and weight: Approve or Decline.

Reported messages

Anything a member reported from a chat: the message, who sent it, who reported it and why. Dealt with or No action. Only admins ever see this.

Maintenance queue

Every open fault from an Out of order or Needs some attention return, with when it was reported and how serious. Mark repair complete puts the boat back on the available list on every device. Recently resolved repairs are listed underneath and stay on the boat's history.

Grades & squads Club plan

  • Grades — rename any grade (Novice → Development, if that's what your club says), reorder them and give each a colour. This is presentation only: it never changes which boats a grade can take out.
  • Squads Club — add squads (Senior A, Juniors, Masters…). Members pick theirs from their profile; you approve under Squad requests. Each squad gets its own chat.
  • Who coaches each squad — pick a coach per squad. When one of that squad's rowers signs a boat out, the coach box starts with this name. Nobody listed? Give someone the Coach role first.

Appearance Club plan

Home layoutStandard or Compact for race mornings. Club colour Championship paints buttons, tabs and highlights in your colour for every member.

Boat QR codes Club plan

One sticker per boat and per electronics unit. Print or save as PDF (on a Mac in the browser: Download the print sheet), laminate, stick them on the rack. Scanning a boat's code opens its sign-out instantly; scanning a unit adds it to the outing.

Bulk import Club plan

Bring boats, members or electronics in from a spreadsheet, once. Copy the rows including the header and paste them under Or paste it here, or Choose a file exported as CSV; Get a template shows the columns, though most headings are understood as they are. Check the preview — To add, Already here, Need a look — then Add {n} to {club}. Importing only adds; it never overwrites or deletes, so running the same file twice is safe.

Events, contacts & rules

  • EventsNew event: title, a category (Training is a session; Regatta a race day; Camp a trip away; plus Social and Committee), Who it's for (Whole club or particular grades, with Also invite for named people), the start as YYYY-MM-DD HH:MM, location and description. People outside the audience never see it.
  • Contacts — role title, name, email, phone. These are what members see under Club → Contacts.
  • Rules — a titled section per audience (rowers, parents, coaches, members).
  • Rigging presets Club plan — oar length, inboard, span, pitch and stretcher notes per boat.

Attendance Championship

Turns every RSVP into an attendance rate per member, filtered by squad, with Export as CSV. RSVPs themselves work on every plan; this is the analysis on top.

Club settings

  • Club join code — shown large. Copy to share; Change it to set your own (4–12 letters or numbers, spaces allowed). The old code stops working the moment you save, so write the new one down where the committee can find it. There's no way to look up an old code, but any admin can set a new one at any time.
  • Under-18 messaging protectionOn — recommended. Read the warning before switching it off; the club, not the app, owns that decision.
  • Admin PIN — four digits, asked for before the admin area opens. Essential if you use the boatshed screen (section 19). Anyone who knows it can manage the club, so change it from the one you were given.
  • Tell someone when a boat breaksEmail the club plus any extra addresses, one per line. An out-of-order return emails them at once. With it off, damage still takes the boat off the water and still shows in the maintenance queue — nobody is emailed.
  • Find your club / Identity — name, home water, address, latitude and longitude of the shed (the weather is read for this point), Tidal water or Lake or river, and for tidal clubs the Tide station: Nearest — {port} is chosen for you with the next four listed by distance. The tide row on Home comes from that station's official LINZ table.
  • Who can book boats — tick Rowers, Coaches and/or Parent / Guardians. Admins can always book.
  • Rowing-status thresholdsMax wind, Max gusts, Caution wind (knots) and Min temperature (°C). Past the caution wind the light goes amber; past a maximum, red.

Tap Save settings at the bottom.

Your plan, and Data tools

Your plan shows what each tier includes and when the trial or paid period ends; plans are bought on this website, never in the app (section 20). Data tools exports a full backup of the club as one file (Club plan) and imports one. Your club's data is yours — take it with you any time.

A join link for the noticeboard

This address opens the browser version straight onto the join screen with your code already typed in — put it on a QR poster in the shed: /app/join?code=YOURCODE

19The boatshed screen

A shared iPad or Mac in the boat bay that anyone can use to sign boats out and back in — and nothing else. Club plan

  1. Set an Admin PIN first (Admin → Club settings). On a shared device, profiles, club switching and the admin area sit behind it.

  2. Sign in on the shared device with any admin account, open More, and tap Use this as the boatshed screen, then Open the boatshed screen.

  3. Two big tabs: Boats and Electronics. Boat tiles read FREE, ON WATER, OVERDUE or MAINTENANCE.

  4. Taking a boat: tap it, then under Who's taking {boat}? tap your name. It's out for 90 minutes unless you say otherwise on your own phone.

  5. Bringing it in: tap the boat, then Good, Needs some attention or Out of order. Add the detail from your own phone when you're warm — it goes on the boat's record.

  6. Electronics tiles work the same: Take it off the shelf / Put it back on the shelf.

To get the device back to normal, More → Unlock with the club PINBack to a personal device. With QR stickers on the rack (section 18), scanning a boat on the shed device jumps straight to its sign-out.

20Plans

One subscription per club; every rower, coach, coxswain and parent joins free. Safety features are never paywalled.

Signing a boat out and back in, damage reporting, live fleet status and Who’s Out Right Now, the automatic logbook, conditions with the rowing-status light, boat bookings, the rules about who may take which boat, Club Chat and Coaches Only, under-18 messaging protection, RSVPs, Club Rules and Key Contacts, and unlimited members work on every plan — and keep working even if a subscription lapses. Starter suits a small club (12 boats, 90 days of logbook); Club adds unlimited boats, the whole logbook, a Shedboard device, imports, squads, repeating activities and the attendance register; Championship adds the Crew Wise assistant, squads that fill themselves, squad channels, attendance analytics, a second Shedboard device, the official tide feed, club colours and priority support. Every line is compared side by side on the pricing page. Every club starts with a 30-day free trial; to keep going, the club's administrator follows the steps under Start your club. Nothing is ever bought inside the app.

21When something's not right

The things people actually email about, and what to do first.

I made an account but can't sign in

Most often the email hasn't been confirmed. Find the message from Crew Wise (check junk), tap the link, then sign in. If the app says That email and password don't match an account, try Email me a reset link — or you may have signed up with Apple, in which case use Continue with Apple.

The join code doesn't work

Capitals, spaces and dashes don't matter, and 0/O and 1/I are forgiven — so a code that fails has almost certainly been changed. Ask an admin: it's shown large under Admin → Club settings. If you can't reach anyone, I don't have a code on the join screen confirms whether the club is on Crew Wise at all.

No boats say they fit me

Check your weight, side and grade under More → Your profile. Then look at Also free — outside your match: the reason is written next to each boat. If every boat says a weight range, the club may not have set ranges that cover you yet — an admin fixes that in Fleet manager.

A boat shows a lock and no Take button

It's private. Only the people named on it can sign it out. An admin adds you under Admin → Fleet manager → that boat → Who may row it.

Continue is greyed out on the sign-out

Stroke must be named — and on a 4x+, 4+ or 8+ the Coxswain box must be filled too. Tap the box and pick from the coxswains offered.

The boat is still showing On water after we came in

Nobody has done the return in the app. Whoever signed it out — or any admin — taps Return on Fleet or the boat's page and answers the condition question.

The boat's in maintenance but it's been fixed

An admin clears it: the boat's page → Mark repair complete, or Admin → Maintenance queue.

I can't message someone

One of you has blocked the other, or they're under 18 with no parent linked and the club has no other admin to copy in. An admin links a guardian under Members & roles. Private messages also need the Club plan; Club Chat is always there.

I'm not in my grade's chat

Grade chats are men's or women's. Set your gender under More → Your profile → Details and the right one appears within a moment.

Notifications aren't arriving

Check the three switches under More → Your profile → Notifications, then iPhone Settings → Notifications → Crew Wise. Notifications come from the phone app; the browser version saves the switches but doesn't deliver them.

The stroke coach shows no split or distance

It needs GPS. Allow location for Crew Wise in Settings, and give the phone half a minute in the open for a fix. Speed and distance can't be measured indoors or in a case that blocks the signal.

The weather or tide looks wrong for our water

The readings are for the latitude and longitude in Admin → Club settings → Identity, and the tide for the station chosen there. Check the pin is on the shed, not the clubrooms in town, and pick the right station from the list. The source is written under the tide on Home.

"Can't reach the club right now"

The phone has no connection to the server. The app keeps showing what it last loaded; pull down to refresh once you have signal. Nothing you did is lost.

The map is blank

In the browser the map appears once a boat is sharing its position; on the phone it needs the latest version of Crew Wise. Everything else on the screen still works.

We've lost the admin PIN or the join code

Any admin can set a new one under Admin → Club settings (the PIN prompt doesn't apply if no PIN is set; if it is and nobody knows it, email support from the club admin's address).

Someone left the club

Admin → Members & roles → their card → Remove. Their access to every channel ends immediately; the logbook keeps the club's records.
