For club administrators
The first twenty minutes, and everything you will run afterwards. All of it lives under More → Admin.
Registering the club
On the welcome screen tap Register your club. If you already have an account, sign in first — the club is registered under the account you are signed in with, and you become its first administrator.
Club name — start typing. Every New Zealand club is in the Rowing NZ directory; pick yours and the home water, region, map pin and nearest LINZ tide station fill themselves in.
Home water — the river, lake or harbour you row on. This is what the weather and tide readings are for.
If you are not signed in, fill in The club’s administrator. Use the club’s own address if there is one —
admin@yourclub.nz— so the account stays with the club when people move on.Answer Will you take boats out yourself? and tap Register the club. The 30-day free trial starts on the spot, with no card.
Setting a club up in the full guide
The first twenty minutes
Do these in order and nothing will be missing when the first crew turns up.
Add the boats. Admin→Fleet manager→Add a boat: name, type, maker, year, the grade the boat suits and its crew weight range. The weight range is what makes Fits you work, so it is worth a minute per boat. With a spreadsheet already, use Bulk import instead.
Check the join code. Admin→Club settings shows it large at the top. Tap Change it for something the club will recognise, then Copy — the copied text is a ready-made sentence to paste into the squad chat or the newsletter.
Set the safety numbers. Same screen, Rowing-status thresholds: Max wind, Max gusts, Caution wind in knots and Min temperature in °C. The status light on everyone’s Home screen comes from these. Your safety officer owns them.
Tide and location. Under Identity, confirm the latitude and longitude of the shed — not the clubrooms in town — choose Tidal water or Lake or river, and for tidal clubs pick the Tide station.
Say who gets told about damage. Under Tell someone when a boat breaks, leave Email the club on and add the boatman’s or captain’s address.
Set an admin PIN if you will ever use a shared iPad or Mac in the boat bay: Admin PIN → Set a PIN → four digits.
Promote your people once members have joined, and make at least one other administrator so the club never depends on one phone.
Put the schedule up. Admin→Events, contacts & rules: the week’s training, the next regatta, the people to ring, and the club rules by audience.
Members and roles
Everyone who joins with the code starts as a Rower. Open Admin→Members & roles, find a member and tap a role chip.

| Coach | Everything a rower can, plus the Coaches channel, adding activities, crew lists, the logbook CSV export, and no grade warnings at sign-out. |
| Club Administrator | Runs the club — fleet, members, content, settings, plan and approvals. The only role that clears maintenance. |
| Parent / Guardian | Follows their rower: the calendar, RSVPs and any message they are copied into. Never signs a boat out. |
An under-18’s card has Parents & guardians with Link a guardian. A card at the top of the screen names any young member with nobody linked, because coaches cannot message them privately until someone is. Remove takes a member out of the club and every channel immediately; the logbook keeps the club’s records. The app will not let you demote the club’s only administrator.
Maintenance queue
Admin→Maintenance queue lists every open fault from an Out of order or Needs some attention return, with when it was reported and how serious. Mark repair complete puts the boat back on the available list on every device at once — you can also do it from the boat’s own page. Recently resolved repairs stay on the boat’s history.
Club settings and safety
- Club join code — 4 to 12 letters or numbers, spaces allowed. The old code stops working the moment you save, and there is no way to look up an old one, so write the new one down where the committee can find it.
- Under-18 messaging protection — On — recommended. The app explains the safeguarding guidance before letting anyone switch it off; the club, not the app, owns that decision.
- Admin PIN — four digits, asked for before the admin area opens. Essential if you use the Shedboard. Change it from whatever it was set to originally.
- Tell someone when a boat breaks — extra addresses, one per line. With it off, damage still takes the boat off the water and still shows in the maintenance queue; nobody is emailed.
- Who can book boats — tick Rowers, Coaches and/or Parent / Guardians. Administrators can always book.
- Rowing-status thresholds — past the caution wind the light goes amber; past a maximum, red, and the detail line says which reading did it.
Tap Save settings at the bottom. Every change shows for every member immediately.
Import, export and backups Club plan
Admin→Bulk import brings boats, members or electronics in from a spreadsheet. Copy the rows including the header and paste them under Or paste it here, or Choose a file exported as CSV. Get a template shows the columns, though most headings are understood as they are. Check the preview — To add, Already here, Need a look — then confirm. Importing only ever adds: it never overwrites or deletes, so running the same file twice is safe.
Admin→Data tools exports a full backup of the club as one file — fleet, members, logbook, maintenance history, events, rules, contacts and settings — and imports one. Your club’s data is yours; take it with you any time.
Shedboard and QR stickers Club plan
Set an Admin PIN first — on a shared device, profiles, club switching and the admin area sit behind it.
Sign in on the shared iPad or Mac with any administrator account, open More, tap Use this as the boatshed screen, then Open the boatshed screen.
Two big tabs — Boats and Electronics — with tiles reading FREE, ON WATER, OVERDUE or MAINTENANCE. Anyone taps a boat, then their own name.
To get the device back to normal: More → Unlock with the club PIN → Back to a personal device.
Admin→Boat QR codes prints one sticker per boat and per electronics unit. Laminate them, stick them on the rack, and scanning a boat opens its sign-out instantly.
Running a large club
- Bulk import the fleet and the membership rather than typing them; a club of three hundred members and eighty boats is a single paste each.
- Squads (Championship) split a large club into groups with their own channels and coaches, so Club Chat does not become the only room.
- Grades keep boat matching sensible across a wide range of experience, and can be renamed to your club’s own language.
- Audiences on activities mean a junior camp never fills a masters rower’s calendar.
- More than one administrator — always. The app will not let you demote the last one, and a club that depends on one phone is a club waiting for a problem.
- The logbook’s filters and CSV export are how you answer the committee, the insurer and the funder without an evening of typing.
