Attendance before the session

Every activity carries its own replies, so the coach never has to run a roll call in a group chat.

1. Open Club→Schedule and tap the activity.

2. Who’s in has tabs for Attending, Declined, Maybe and No response, with names under each and any note a member left.

3. Tap Remind the {n} who haven’t replied and a chase-up is posted to Club Chat for you.

4. After the session, Been and gone at the bottom of the schedule shows recent activities and how many turned out.

On the Championship plan, Admin→Attendance turns every RSVP into an attendance rate per member, filtered by squad, with Export as CSV. RSVPs themselves work on every plan.

Adding training and regattas

1. Open Admin→Events, contacts & rules and tap New event.

2. Give it a title and a category: Training for a session, Regatta for a race day, Camp for a trip away, plus Social and Committee.

3. Set Who it’s for — Whole club, particular grades, or a squad, with Also invite for named people. Anyone outside the audience never sees it; coaches, administrators and a rower’s linked parent always do.

4. Enter the start as YYYY-MM-DD HH:MM, the location and a description, then save. It is on everyone’s Home and Schedule immediately, and anyone with Schedule notifications on is told.

Crews, seats and sign-outs

Because every sign-out names its seats, crews are recorded rather than remembered. A few things worth knowing as a coach:

• Coaches and administrators do not get the grade warning at sign-out, so you can put a rower in a boat above their grade when it is the right call. For everyone else the warning is exactly that — a warning, not a block, and the outing is flagged for the coaches.
• If your club runs squads, set a coach per squad under Admin→Grades & squads→Who coaches each squad. From then on the Coach box starts with your name whenever one of that squad’s rowers signs a boat out.
• The full outing record keeps who sat where, the coxswain, the coach, the electronics taken, the weather at sign-out, the distance, and — if anyone ran the StrokeCoach — speeds and the route.

Who is out right now

Club→On the water — or LIVE MAP on Home — lists every crew that is out: the boat, who is stroking, the coach, the due-back time, and how far from the shed they are. Crews running the StrokeCoach with sharing on appear on the map with distance rowed and split; crews that are out but not sharing are listed underneath with their due time. Overdue crews are flagged automatically for the whole club.

The chats you are in

Coaches are in the Coaches channel, in every grade chat, and in Club Chat with everyone else. Squad channels are added on the Championship plan. You can start a group chat for a crew or a regatta trailer run from Group on Messages, and on the Championship plan a coach can add A whole squad at once.

Messaging a rower under 18 privately always includes their linked parent or guardian. If nobody is linked yet, the conversation cannot open at all — ask an administrator to link a guardian under Admin→Members & roles. More on safeguarding

The logbook and exports

Open Club→Logbook. Search by boat, name, route or anything written in a note. Narrow by time (Last 7 days, Last 30 days, Last 6 months, Everything), by kind (Outings, Damage, Repairs), to Just mine, or to one boat. The four totals at the top — outings, kilometres, hours, boats — follow whatever you have narrowed to.

Coaches and administrators get a CSV chip that exports exactly what is on screen. The Starter plan shows the last 90 days; the Club and Championship plans keep everything.

Squads and grades

Grades can be renamed and recoloured to match your club’s language on the Club plan — Novice becoming Development, for instance. That is presentation only: it never changes which boats a grade can take out. Squads are a Championship-plan feature; members ask to join one from their profile and an administrator approves it under Admin→Squad requests.
