Boat management

The fleet, from adding a hull to clearing its last repair. Anything here that changes a boat is done by a club administrator; anything that uses one is done by everybody.

Adding and editing a boat

  1. Open AdminFleet manager and tap Add a boat, or tap an existing boat to edit it.

  2. Enter the Name, the Type (1x 2x 2- 4x 4x+ 4+ 4- 8+), the Manufacturer and the Year.

  3. Set Grade this boat suits — how much boat it is. Rowers below that grade get a warning at sign-out; coaches and administrators do not.

  4. Set Min weight and Max weight in kg: the crew weight the boat is rigged for. This is the single most useful field in the fleet.

  5. Choose Who may row it, then tap Add boat or Save changes. Remove boat asks to confirm, and refuses while the boat is on the water.

Weight ranges, grades and “Fits you”

A boat fits a rower when all three are true:

  • their grade is at or above the boat’s grade (Masters counts as Intermediate, Novice Masters as Novice);
  • the boat is open crew, or matches the rower’s side;
  • and, if the boat has a weight range, the rower is within 5 kg of it.

A boat with no range set never excludes anyone, and a missing weight on a profile does not either — it just stops the app helping. Everything free that does not fit is still listed under Also free — outside your match, with the one reason written next to it, so a coach can make the call.

Worth the ten minutes. A fleet with weight ranges set turns the sign-out screen from a list of names into a recommendation. It is the difference between a novice picking the club’s stiffest single and being offered the right hull first.

Private boats

Use a private boat for a member’s own single, or the racing eight in the week before a regatta.

  1. In AdminFleet manager, open the boat and scroll to Who may row it.

  2. Type a name under Make it private — add a person, and add as many people as you like.

  3. Tap Save changes. Only the people named can sign it out, administrators always can, and everyone else sees it with a lock and Private.

  4. To open it back up, tap Anyone in the club.

Fleet status and boat records

The Fleet tab shows every boat with its photo and a status: Free, On water (with how long it has been out), Overdue, or In repair with the open fault. Search by name, type or maker, and filter with All boats, Available now, Sculling or Sweep.

A boat’s own page holds its whole story: lifetime outings, kilometres, hours and last outing; the fastest anyone has been in it; where it last went on a map; what it is set up for; any open maintenance; bookings; the rigging preset; and the last fourteen outings and repairs. Tap any of them for the full outing record — every seat by name, the coxswain, the coach, the electronics taken, the weather at sign-out, and how it came back.

Damage and the maintenance queue

Damage is reported by the crew that found it, at the moment they found it — on the return screen.

Administrators clear a repair with Mark repair complete — from the boat’s page or from AdminMaintenance queue — and the boat is available again everywhere at once. Resolved repairs stay on the boat’s history, so a hull with a habit of coming back damaged is visible rather than remembered.

Choose who is told under AdminClub settingsTell someone when a boat breaks. With emails off, damage still removes the boat and still queues the job — nobody is emailed.

Bookings

Bookings hold a boat for a day, a start time and a length. Yours appear under Yours with Sign out once the time comes and Cancel until then; everyone else’s under Club bookings, and booked boats are marked on Home and on the fleet list. Administrators decide which roles may book under AdminClub settingsWho can book boats; administrators can always book.

QR stickers and the Shedboard Club plan

AdminBoat QR codes produces one sticker per boat and per electronics unit. Print or save as PDF (in a browser, Download the print sheet), laminate them and stick them on the rack. Scanning a boat’s code opens its sign-out instantly; scanning a unit adds it to the outing.

Electronics and rigging

ClubEquipment lists the electronics shelf — SpeedCoaches, StrokeCoaches and CoxBoxes — and whether each is on the shelf, out or missing, alongside the rigging preset each boat is set to. Crews take a unit at step 2 of the sign-out, by tapping it, typing its code such as SC-01, or scanning its sticker. Units come back automatically when the boat is returned.

Common questions

How many boats can we have?
The Starter plan holds up to 12 boats. The Club and Championship plans are unlimited — a fleet of eighty works exactly like a fleet of eight, because everything is searched and filtered rather than scrolled.
Can two crews take the same boat?
No. A boat that is on the water, booked for that time or in maintenance cannot be signed out, and the sign-out says which of those it is.
What if someone forgets to return a boat?
It shows as Overdue for the whole club once the expected duration passes. Check the crew is in safely, then whoever signed it out — or any administrator — completes the return.
Can we record a boat that is away being repaired?
Yes — an out-of-order return keeps the boat off the available list until the repair is marked complete, and the fault and its dates stay on the boat’s history.
Do photos of boats help?
They make the fleet list scannable at 5:45am, particularly for new members who know the hull by sight rather than by name.
Can we import our fleet from a spreadsheet?
Yes, on the Club plan: AdminBulk import. Paste the rows including the header, check the preview, confirm. Importing only adds, so re-running the same file is safe.
